30 01732 759725 WORKPLACE I couldn’t do my job without… Gabriela Garner, Senior Director for Product Marketing at Kofax, picks the tools she uses every day and couldn’t do her job without the ability to adjust on the fly. Even better, I don’t need to bother my team for updates by sending emails and waiting for a response. Instead, I have access to the latest status updates right at my fingertips. I’m regularly informed, and I have what I need for monthly reporting to our executive board. Microsoft Teams Tracker also allows me to conduct one-on-one meetings with each team member to ensure everyone has what they need, stays on track, and remains focused on the highest priority items. 3 Microsoft Teams Meetings and Zoom In my role, gathering feedback from customers is crucial. In the past, I’d have travelled for an inperson meeting. But with video communications technology, I have greater flexibility to meet with people. That means I have more opportunities to talk to more customers and understand what’s important to them. I use Microsoft Teams Meetings and Zoom because everyone has a comfort level with one or the other. So, whether I’m meeting with internal staff or external customers, usability is rarely an issue. Sharing screens, chat and collaboration are intuitive, keeping the discussion moving along and productive. Both applications allow me to set up meetings in advance, whether it be a one-off or a regularly recurring meeting. Whenever I think a face-to-face discussion would be more productive or effective, I can set up a spur-of-the-moment video meeting with just a click. 4 Dropbox Emailing files back and forth just isn’t efficient. Too often we lose track of where that email went, and it becomes impossible to collaborate or control version history. And sometimes I need to share large video files, and email simply won’t cut it. Dropbox overcomes all of these challenges, and the app has been 1 Microsoft Teams Chat I’ve worked with colleagues from various offices for quite some time. We’re now all logging in from our home office most days, but we’re also a global company. There isn’t a day (or even an hour) that goes by where I don’t need to ask a team member a quick question or get clarification from a Kofax employee located in London, for example. With Microsoft Teams Chat, I can start an impromptu conversation with anyone anywhere in the world – and yet it feels as if we’re all in one office together. I can connect one-on-one or with an entire group, so we can share ideas and exchange information in an instant. For real-time communication and collaboration, it’s an indispensable tool in my workday, keeping me and my team connected and productive. 2 Microsoft Teams Tracker My team and I would be lost without Microsoft Teams Tracker. We’re constantly juggling multiple to-do lists, and to meet deadlines, it’s vital to organise and prioritise projects. This tool gives me a bird’seye view into what’s important and immensely valuable for working with external agencies. We often work with outside partners for creative content, and Dropbox makes collaboration seamless without jeopardising security. 5 Google Drive Dropbox is great, but sometimes Google Drive is more convenient for file sharing, especially when people need access to files while they’re on the go. Just about everyone is familiar with the app, making it easy to share files internally and externally. I can collaborate on documents with my team and external partners in real time, from any location, on any device, at any time. It really drives productivity. Outside of work, I serve as the president of the National Charity League, Rolling Hills Chapter, a mother/daughter volunteer organisation. I use Google Drive to manage the board reports and collaborate on agendas. I have quick access to budgets, programme information, event plans, and membership programmes. The app makes it easy to protect files based on access level and effectively manage a large team of 240 people. It’s an indispensable tool, helping us achieve our goals to support our philanthropy partners and serve our community. 6 Asana My workday pretty much revolves around projects, which makes Asana indispensable. In just a few clicks, I can create and manage projects and assign tasks. Automated workflows let people know when their step is ready to be completed. Custom templates allow me to organise tasks in ways that align with the overall nature of a given project, while automated alerts and notifications reinforce deadlines and ensure projects are completed on time. It’s true peace of mind for the project management part of my role. Automation frees up more of my more time to focus on marketing strategy and customer needs. Gabriela Garner www.kofax.com
