document imaging and material handling
that since 1973 has provided performance
enhancing workflow solutions and
cost effective results to thousands of
organisations around the world.
The company is proud of carrying out all
engineering, manufacturing and assembly
in its own facilities and of supporting
customers worldwide through its own sales
and service organisation.
Serco’s ethos is to think differently and
put forth innovative ideas to its clients
that deliver greater value for money and
enhance their services. Contract Director
Mike Mackay said: “We aim to build long-
term and mutually beneficial relationships
with all those with whom we have a
business relationship – our customers, our
strategic and joint venture partners and
our suppliers.”
Sorted with intelligence
The OPEX Mail Matrix system was selected
as the best in class solution for the
Hospital’s mailroom.
Unique in form and function, the
OPEX Mail Matrix utilises a high quality
image capture system and wireless
communication with IBOT (intelligent
robotic wireless vehicles) technology to
determine and distribute any manner of
hard copy envelopes and packages into
large volume delivery bins. The large volume
delivery bins integrate with some 280 pre-
ordained receptacles in a single pass, at the
appropriate horizontal level.

at an average rate of 2,000 items an hour.
This exciting innovation embraces optical
character recognition (OCR) and database
software, encompassing the whole of the
Hospital’s personnel structure and related
external locations.
Combining a small footprint measuring
493cm long by 312cm wide and 229cm
high, total functionality and cost saving
enhancement, the OPEX Mail Matrix offers
a powerful solution to meet the sensitive
NHS needs of postal processing facilities.
The efficient operation seamlessly
integrates into the workflow whilst
streamlining processing with just the one
run, while the compact configuration
features removable delivery containers
on both sides of the machine to minimise
expensive floor space.
Modular flexibility
The OPEX Mail Matrix also offers modular
flexibility with scalable delivery locations,
IBOTs and keying stations for future
growth – in tandem with the versatility
to cope quickly and easily with every
variation of real post including letters, large
flats, publications and small parcels. The
configurable software programme allows for
a wide range of sorting options including
name, department, building and floor, at
sorting rates of up to one piece per second.
When a delivery address is not recognised,
the operator can intervene and key the
relevant details for inline delivery.
“The new OPEX system does not mean
any reduction in mailroom staffing levels.
What we are doing is giving people the
opportunity to work in other mail related
situations, such as moving medical records
and other back office tasks, giving staff
much more flexibility during their working
day,” said Mackay.
Serco IT Manager Gordon Reid enjoys
meeting the key aspects of speed and area
control. “We are obliged to ensure that all
incoming mail arrives at internal locations
within two hours. Given the very nature of
this place, the quicker the item arrives then
clearly the quicker the resolution of the
situation for all concerned.
“The unit looks the part and it very
much fits in with the modern and clean
look of the area. We are able to operate
a database of some 2,500 destinations
including individual people, departments,
external health centres and other hospitals,
which enables us to absolutely match our
mission as the communication hub of the
complete district.”
Shaun Lee, OPEX Director of Operations
for EMEA, takes an equally positive view of
this futuristic project. “OPEX is extremely
proud and privileged to be working
alongside such a major vendor within the
Facilities Management space as Serco. OPEX
has targeted this business sector as having
a prime importance to the global strategy of
marketing the Mail Matrix. To be involved
in this milestone project of technical
excellence has enabled both Serco and the
UK NHS to be early adopters of this ground
breaking technology. OPEX is already
working on other major opportunities with
Serco and looks forward to a long and
fruitful business relationship whist enabling
our customers to make full use of the
unique solutions and products that we have
consistently brought to the marketplace for
the past 40 years.”
