OPEX scanners are designed to
meet all mailroom scanning needs,
from single sheets to stacks of
documents, envelopes and small
forms, including fragile, damaged,
folded or stapled items.
In October, we reported how Leeds
Building Society (LBS) was looking forward
to an 18-month return on investment after
implementing a second generation digital
mailroom solution based on Editor’s Choice
Award-winning OPEX DS2200 scanners and
mstore electronic document management
software from the Arena Group.
The UK’s 5th largest building society,
with assets of £9.9 billion, almost 700,000
members and 65 branches, is using the
solution to scan more than 5,000 items
of incoming mail each day. Tim Lancelot
of the Arena Group, which has been
working with Leeds BS since 2004, says
the implementation is helping to improve
customer service, compliance and the
control of information, whilst also reducing
costs. He said: “The Opex hardware and
OPEX has just announced the release
of its new generation of mailroom
automated technology – the OPEX
Mail Matrix which was recently
installed as part of a futuristic
computerised mail management
system at the Forth Valley Royal
Hospital in Scotland.
Recently opened by Her Majesty the
Queen, the Forth Valley Royal Hospital
represents the largest NHS project in
Scotland to date, at a cost of £300 million
and is one of the most modern and well-
equipped Hospitals in Europe.
Falling under the UK Government’s PPP
Model, the project to deliver the Forth Valley
Royal Hospital was awarded to Forth Health
(a company wholly owned by the John Laing
Infrastructure Fund) who partnered with
Laing O’Rourke (Design and Construction)
and Serco (Facilities Management).
Facilities Management specialists Serco
delivers a variety of core services to the
Hospital including maintenance, catering,
security, housekeeping and porterage.
Arena’s mstore software work seamlessly
together to give the fastest possible
mailbag-to-desk process with maximum
automation.”
Integration of incoming mail with the
building society’s core database systems
makes accurate information available to
customer service staff much sooner than
was previously possible; removes the need
to transport and deliver large volumes of
post; and gives LBS peace of mind from
knowing that all documents are securely
stored and audited in line with FSA
guidelines.
Paul Thompson, Document Services
Manager at Leeds Building Society, said:
“We set a three-phase plan to test and run
the overall electronic capture process and
we can already see tangible and significant
results. We have uploaded some 75 per
cent of legacy files whilst streamlining the
intake of new material which amounts to
approximately 5,000 units per day.”
He added: “I especially like the ability
of the system to recognise different
Within this portfolio is an innovative Wi-Fi
guided system of robots (automatic guided
vehicles) which use segregated tunnels and
a number of FM hubs for the collection
of waste and the distribution of meals
and medical supplies to the wards and
departments, a process that reduces clutter
and infection risks.
Managing the mail
Fast and accurate handling and onward
distribution of all postal material was
a key objective and Serco was charged
with procuring and installing a future-
proof system. The system that was to be
deployed had to be a modern, automated
and technologically advanced solution that
would both improve efficiency and increase
productivity.
Serco turned to OPEX for support in
providing the technologies required to
implement a futuristic computerised mail
management system. OPEX Corporation
is a recognised global technology leader
in high-speed mailroom automation,
types of document and various optical
character systems such as barcodes, OCR
and OMR. Given that we have something
like 700 different types of document, the
potential for fast and smooth processing is
enormous.”
