Alder Hey Children’s NHS Foundation
Trust is introducing a new integrated
digital dictation platform to improve
workflow, patient care and deliver
time and efficiency savings for
clinicians and secretaries.
The solution uses the Olympus
DR range of robust, PC-connected
microphones for dictation input and
MedisecTRUST Digital Dictation
software, which tags dictated voice files
from Alder Hey clinicians with central
Patient Administration System (PAS)
data to automatically generate clinical
correspondence.
“This is a key move in our drive to
improve administrative efficiencies,” said
Alder Hey’s EPS Project Manager Heather
Swanston. “We had already streamlined
the transfer of patient information
using the MedisecTRUST solution, but
transcription times will now be much
faster with the integration of Medisec’s
digital dictation platform.”
Digital dictation eliminates the
time-consuming process of physically
moving file notes and audio cassettes
between hospital departments, while the
tagged files allow recordings to be quickly
identified and transcribed.
When a patient is selected, the system
opens the integrated dictation software.
The resulting voice file is tagged to the
patient and automatically appears in the
relevant medical secretary’s workflow.
When the secretary opens the voice
file, the system automatically inserts
patient information from the hospital PAS
into a letter template. Consultants are
then able to edit and authorise all clinical
correspondence online.
“I previously used to write my letters
out longhand and pass them to my
secretary for typing which was a time-
consuming process,” said Consultant
Paediatric Dentist Rod Llewellyn. “This
system is quicker and more efficient.”

Robust and secure
The new Olympus DS-7000 and DS-3500 dictation
systems meet the needs of the most demanding
business users, combining durable metal bodies and
a 2in colour LCD screen with useful security features
including PIN protection and 256-bit DSS Pro real-
time data encryption.
All main controls (a slider switch on the DS-7000 and
buttons on the DS-3500) are on the side of the unit and
can be operated one-handed. Files can be assigned to
seven folders and saved on the built-in 2GB microSD Card
or on removable SD cards.
Recordings can be transferred manually via an SD card
or automatically via a LAN or WAN. The bundled ODMS
(Olympus Dictation Management
System) R6 Dictation Module,
a virtual control panel for
dictation management, allows
recordings to be fully integrated
into digital workflows and
automatically downloads and
transfers files according to
preset rules.
The DS-7000, which includes
a useful docking station, and the
DS-3500 are priced at £469.99
and £329.99 respectively. A
new transcription kit, the AS-
7000, comprising a four-button
footswitch and under-chin
headset costs £219.99.

Moving with the times
Grundig Business Systems (GBS) has
developed free software for its Digta
7 dictation devices that allows users
to transfer files and send dictation
without having to install software on a
PC. DssMover Portable, which runs on
the dictation devices themselves, can
also be used to configure basic
settings, such as the author’s
name, the transcriber’s
name and e-mail address,
and the target directory
for network transfer. Files
can be transferred in one
of two ways: to a target
folder – ideal when the
user is in the same local
environment/PC network
as secretarial staff and both
have access to common
folders; and by email as

WinScribe app better
than ever
Following feed-back from customers,
WinScribe has enhanced its iOS
dictation app, giving users the ability
to attach photos and location data to
recordings and specify a ‘required by’
time and date. The Digital Dictation
for iPhone app simplifies the dictation
process with full recording capabilities,
secure voice and data transmission,
speech recognition integration and
online/offline functionality. Authors can
create dictations with a single tap on
their iPhone/iPad touchscreen and scan
in client or patient data via the built-in
barcode scanner.
Turning on the style
The superslim Sony ICD-TX50 is the
company’s thinnest voice recorder to
date. Just 6.4mm thick and weighing
only 50g, it features 4GB of storage
space (expandable with optional
microSD cards), a high gloss finish,
OLED display, stereo microphone and
integrated clip for securing a recorder
in a shirt pocket. It records dictation,
voice memos, interviews etc. as Linear
PCM or MP3 files and has a choice
of five Scene Select modes, such as
‘Shirt Pocket’, ‘Meeting’ and ‘Interview’.
When not recording, the ICD-TX50 can
be used as an MP3 player. Other new
Sony voice recorders include the ICD-
UX series with angled microphones and
the ICD-LX30 with 330mW speaker.
