MFPs
When Manchester law firm George
Davies Solicitors LLP relocated to an
open plan office in Manchester city
centre, it took the opportunity to
transform its printing, archiving and
copying facilities, standardising on
Toshiba MFPs supplied by Sharples
Group, which had first contacted the
firm at its old four-storey offices two
years previously.
“As part of our new business activities,
we contacted George Davies’ head of
operations, Mark Lockett. He told us
about the forthcoming relocation and
we offered to undertake a print audit
to evaluate the cost and volume of its
existing fleet. The results allowed us to
identify ways to make the printing and
copying operation in the new office more
efficient,” explained Sharples Group sales
director David Griffiths.
Together with Lockett, Griffiths
carried out a three-month time and
motion study on the firm’s printer
estate and found that George Davies
was spending £24,000 a year on hard
copy output alone. Griffiths calculated
that by replacing the 14 existing mono
and colour printers with four networked
Toshiba TEC e-STUDIO5520C colour
multifunction products (MFPs), he could
reduce this figure by almost two thirds to
a little over £9,000.
These savings are all the more
impressive when you consider that they
are based on the same print volumes and
are purely a product of the 55ppm MFPs’
lower running costs. These are at least
50% lower than the cost per page (CPP)
of George Davies’ original printers and
in the most extreme cases are less than
20% of what the firm had been paying
for a printed page.
Further savings are likely to come
from solutions recommended by
Sharples Group to enhance data security
and restrict access to confidential
information, notably Altman Technology’s
Pcounter print management software.
Print jobs are now sent to a print queue
where they are held until a user enters
their Windows authentication code to
release them for printing.
As well as maintaining data
security by eliminating the problem of
uncollected prints, this system prevents
unnecessary printing by allowing users to
delete unwanted jobs in the print queue.
It also helps George Davies monitor staff
usage patterns and recover printing and
copying costs more effectively.
David Griffiths said: “Pcounter allows
us to evaluate how the system is being
used, modify it and take additional
action where necessary. It has already
contributed to a significant reduction in
toner and we have also seen a 20-30%
reduction in print volume – that equates
to an awful lot of paper.”
The Toshiba MFPs also play an
important role in the new electronic
database introduced by George Davies as
part of the move. Toshiba TEC’s e-BRIDGE
Re-Rite office automation software
installed on the e-STUDIO5520Cs
automatically converts a scan of any
hard copy original into a number of
digital formats that are fully editable and
searchable.
So far, Mark Lockett is pleased
with what has been achieved. “The
specification and installation of the
Toshiba TEC e-STUDIO5520C MFPs, with
their in built facilities, has not only saved
us a considerable sum of money but has
also allowed us to introduce new efficient
ways of working that will increase our
productivity and reduce our carbon
footprint,” he said.

Raising the bar
Toshiba TEC UK Imaging Systems claims
that its e-STUDIO2550CSE series A3 colour
multifunction products (MFPs) set a new
industry benchmark by offering high-end
technology and a compact design at a
competitive price.
Although they account for almost half of the
colour printing and copying market, smaller MFPs
with speeds of 20-29 pages per minute have
traditionally lacked the functionality of higher end
products. The e-STUDIO2550CSE puts this right
by providing small businesses and workgroups
with features and benefits previously unheard of in
devices of this size.
The smallest A3 colour products in their class,
the new devices print in mono or colour at speeds
of up to 25 ppm and scan in colour at up to 50
ppm. They have a maximum online paper capacity
of 2,900 sheets from up to five different paper
sources and come with a variety of finishing
options, including a job separator and inner finisher
with 50-sheet multiple position stapling and a
saddle-stitch finisher with a capacity of 1,000
sheets that can also be used to create A4 booklets
with up to 60 pages.
The products feature impressive workflow
capabilities including Toshiba TEC’s e-BRIDGE X
controller technology, which supports access to
Google Docs, Microsoft SharePoint and Microsoft
Exchange via optional workflow connectors; e-Filing
functionality; and Drivve Image, which streamlines
MFP document capture processes by creating
automated scan profiles.
There are four models in the range: two
basic models (the e-STUDIO2050C/2550C)
and two security-enhanced models (the
e-STUDIO2050CSE/2550CSE). The latter feature
Toshiba TEC’s unique Secure Erase Drive (SED)
technology, which encrypts all data and is designed
so that if the SED is removed and connected to
another device authentication will fail.
