Electronic document management
has enormous benefits for small and
medium-sized businesses. It saves
space taken up by hard copy filing
cabinets; reduces the amount of
paper circulating around an office;
removes the errors associated
with paper workflows; streamlines
business processes; and speeds up
document retrieval. On the downside,
systems can be expensive, complex,
hard to install and involve significant
IT overheads.
Olivetti’s OliTouch electronic filing system
overcomes these drawbacks, providing a
simpler route to business efficiency.
Consisting of an all-in-one touchscreen
computer, OliTouch 2.0 document
management software and Olivetti
Document Hub cloud-based storage and
document services, OliTouch combines
simplicity and ease of use with impressive
functionality. There are no license fees
to administer; just a single fee covering
Last year saw a big expansion of Olivetti’s
product range as it diversified into other areas.
Mobile computing was a particular focus.
Following the launch of new netbooks in 2010,
Olivetti refreshed its notebook range with,
amongst others, the launch of the Olibook
S1300 (now replaced by the Olibook S1350)
and introduced a series of tablet computers or
Olivetti OliPads.
These versatile devices are designed to be
used with apps from the Android Marketplace and
Olivetti’s own Application Warehouse. Like the
OliTouch (see above), they are a good example of the
company’s strategy to reposition itself as a solutions
provider offering hardware products integrated with
IT services and applications. Among the offerings
already available on the Application Warehouse are
solutions for salesforce management, enterprise
social networking and signature workflows.

OliTouch and an unlimited number of users,
with the option to store PC and scanned
files locally on the company network or
in the OliCloud, a secure-cloud-based
datacentre managed by Olivetti’s parent
company Telecom Italia.
Cloud storage is an attractive option for
SMEs because it removes the need to invest
in additional servers and storage
(the OliTouch itself comes with built-in
storage capacity for 20,000 documents);
can be scaled up or down in line with
changing needs; can be accessed remotely
via a web browser; and provides the
reassurance that important documents are
backed-up and protected at all times with
class-leading security.
OliTouch stores all types of electronic
document, including scans made on Olivetti
MFPs (or those from other manufacturers),
and works just like a filing cabinet. Files
are stored under a set of pre-determined
indexes and can be arranged in alphabetical
or date order, with indexing data entered
by the touch-screen display or computer
keyboard. Because files are saved in a
text format recognised by OCR, they can
be retrieved from any workstation on the
network by index data or full text searches.
As well as being a simple and effective
filing tool, OliTouch provides a platform for
additional document services developed
by Olivetti. These include a new mailing
option created in partnership with a large
European postal distributor that allows
users of the OliTouch system to post
documents without leaving their desks.
The system routes chosen documents to the
mailing hub where they are printed, inserted
into envelopes, franked and posted.
For simplicity, and as an example of
how Olivetti is combining its hardware with
productive business services, the OliTouch
takes some beating.
